There are many reasons/excuses to avoid business systemisation but like most things life, if you look for excuses not to do something, you’ll find them. Sadly, and more often than not, these excuses cause most businesses to struggle or worse, fail.

The fact is, at some point every business *must* systemise their operations. It is the only way to grow and scale, the founder/business owner must set the standards, accountability and have his team stick to a process. There is no two ways about it!

Systemized Operations

The question is: “Will you do it the easy way or the hard way?”

Yes it’s possible to cobble something together using Dropbox, Google Drive, Google Sites or some other file storage platform. You could use text files and word documents and save them in folders. That said, as your team grows the limitations will pretty quickly become abundantly obvious.

From setting permissions and access levels, to findability, to having your team follow a consistent structure, there are many reasons a file sharing platform isn’t the way to go. That said, perhaps the biggest issue is usability. Having a systems run business is hard enough to implement at the best of times without complicating things by using platforms that weren’t designed for this use.

When systemising, remember to streamline and to reduce complexity!

File storage platforms like Dropbox fall short with the permissions, controls and keeping things organised. Platforms like Google sites, intranets and wikis have issues with usability. You will quickly find not everyone on the team can easily update them – especially less techie team members. This pushes the systemisation of a business to one or two individuals rather than having the whole team involved.

Then there are some platforms that try to combine both project management and systems documentation management (I explain the difference in this video) but what ends up happening here is that they fail to solve either problem very well. We believe it’s better to be a master of one than a jack of all trades in this situation.

Now, clearly I’m biased but with good reason – we were like you. We understood the importance of business systemisation, we tried a whole bunch of platforms but none of them solved the problem.

Through this frustration, we decided to build our own.
